# External access

Understand how people outside your Organization can be given Property or Project access.
## Overview
External access applies when a person outside your Organization is given access to a Property or Project.
An External is not a member of your Organization. Their access comes from the Property roles or Project roles assigned to them.
## How External access works
An External with Property or Project access can:
* Be invited even if they are not part of any Organization.
* Be assigned access without receiving a Global role in your Organization.
* Hold Property roles, Project roles, or both.
A person does not need to belong to an Organization to be assigned a Property or Project role.

# Global roles

Roles that apply across the entire organization. Use these for org-wide responsibilities like managing properties, content, or members across multiple properties.
## Overview
Global roles define what a member can do across the organization.
Each Global role contains a set of permissions. Members added to that role can perform those actions across all properties in the organization.
## Role levels
Global roles are organized by role level:
Account Owner → Global Account Manager → Global Team Manager → Global Content Manager → Global Uploader → Global Viewer → No Global Role
This order controls the main role hierarchy.
| Global role level | Description |
| -------------------------- | ------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| **Account Owner¹** | Can manage everything across the Organization, including billing, the subscription, and other Account Owners. |
| **Global Account Manager** | Can manage almost everything across the Organization, including lower roles and members, Properties, content, Projects, and day-to-day billing. They cannot manage Account Owners or other Global Account Managers, or cancel or reactivate the subscription. |
| **Global Team Manager** | Can manage roles and members within their branch and manage Properties and content across the Organization. Optional permissions for inviting members and managing Projects, Tours, and markers can also be granted. |
| **Global Content Manager** | Can manage Properties and content across the Organization and allocate existing members to roles. Optional permissions for managing Projects, Tours, and markers can also be granted. They cannot invite new Organization members. |
| **Global Uploader** | Can upload photos and comment across the Organization. They can edit or trash their own content for up to 24 hours, and limited optional permissions can also be granted. |
| **Global Viewer** | Can view and comment on content across the Organization. Viewing photos with sensitive information can also be granted. |
| **No Global Role²** | Belongs to the Organization but has no Organization-wide permissions. Property or Project access can still be assigned separately. |
¹ There is one Account Owner role per Organization, but it can contain multiple members.
² Use No Global Role for Organization members who only need access through Property or Project roles.
Each Global role level has its own default and optional permissions. For the full permission breakdown, see [Permissions matrix](/reference/permissions).
## Branches and sponsorship
A branch is created when one Global role sponsors another Global role. The sponsored role and the roles beneath it sit within the sponsoring role’s branch.
A member can only manage lower roles within their own branch, and only when they have the required permissions.
For example, if a Global Account Manager sponsors a Global Content Manager, Global Uploader, or Global Viewer, those roles sit inside that Global Account Manager’s branch.
Branches prevent members from managing roles outside their area of responsibility. Even if a role is lower in the hierarchy, it cannot be managed by someone from another branch.
Being in the same branch does not automatically give a member permission to manage a role. The member must also have the required role management permissions.
Inviting people requires the Invite members permission. Sponsoring or managing a role does not always mean you can invite people into it.
## Key rules
* Global roles apply across all properties in the organization.
* Global roles follow this hierarchy: Account Owner, Global Account Manager, Global Team Manager, Global Content Manager, Global Uploader, Global Viewer, No Global Role.
* Sponsored roles must sit below the sponsoring role in the hierarchy.
* Members can only manage roles they are allowed to manage through the branch structure.
* Being in the same branch does not grant permission by itself. The member must also have the required permissions.
* The Account Owner role sits above all branches and does not have a sponsoring role.
* Account Owners can manage everything across the organization, including other members in the Account Owner role.
* Global Uploaders cannot sponsor Global Viewers.
* Some Global roles can be given optional permissions, depending on role level and sponsoring role.
## How to create a Global role
Open **Manage** → **Global roles**.
Select the relevant **role level**.
Select the global role that will sponsor the new role.
Open the **Sponsored roles** tab and click **Create**.
Enter the **role name**, select the **role level**, and choose any optional permissions.
Click **Save**.
## How to edit a Global role
Open **Manage** → **Global roles**, select the role level, then select the role.
Open the **Details** tab and click **Edit**.
Update the **role name**, **role level**, or optional permissions.
Click **Save**.
Role management depends on both branch and permissions. A role can only be edited by a member who has the required role management permissions and is allowed to manage that role through the branch structure.
Account Owners can edit and remove members in their own role.
## How to delete a Global role
Open **Manage** → **Global roles**, select the role level, then the role.
Open the **Details** tab and click **Edit**.
Click **Delete role** and confirm.
Global Content Managers and above in the same branch can delete roles below them.
## How to add members to a Global role
Open **Manage** → **Global roles**, select the role level, then the role.
Open the **Members** tab and click **Add members**.
Search for and select the members you want to add.
Confirm the selection.
## How to remove members from a Global role
Open **Manage** → **Global roles**, select the role level, then the role.
Open the **Members** tab.
Find the member and click the **delete** icon beside their name.
Confirm the removal.
## How to invite members to a Global role
Open **Manage** → **Global roles**, select the role level, then the role.
Open the **Invites** tab and click **Invite members**.
Enter the person's **email address** and complete the invite details.
Send the invite.
**Invite vs. Add.**
Use Invite members when the person is not yet a member of the organization. Use Add members when the person is already a member of the organization. All invites for that role appear in the Invites tab.
## How to change the sponsoring role
Open **Manage** → **Global roles**, select the role level, then the role.
Open the **Details** tab and click **Edit**.
Select a new sponsoring role from the available options.
Click **Save**.

Add new people to your Organization through a Global role. Track each recipient individually with a unique invite link.
## Overview
An Invite is used to add people to your Organization through a Global role. Once someone accepts an Invite, they become a member and are then managed in Members.
## Why use Invites
Invites help you add the right people to your Organization in a controlled way. They make it easier to assign access before someone joins, track invite progress, and manage recipients individually.
## Key rules
* **Existing role required.** The role must already exist before you can create the Invite.
* **Role hierarchy.** You can only invite into a role below your own role level.
* **Account Owner exception.** Account Owners can invite other Account Owners.
* **Permission required.** You can only create Invites if your role includes the Invite members permission.
* **Recipient-based tracking.** Each recipient has their own status and unique invite link. Links cannot be shared between people.
* **Email-bound.** Only the person whose email address matches the invitation can accept or reject it.
* **Mutual exclusion.** If a recipient accepts an Invite, any other pending invitations for that same person are automatically cancelled.
## Who can view Invites
Being able to view Invites is separate from being able to create them.

## Invite statuses
* **Pending (yellow).** Sent but not responded to.
* **Accepted (green).** The recipient accepted the invitation and joined the Organization.
* **Rejected (red).** The recipient declined the invitation.
* **Cancelled (gray).** Cancelled by the system because the Invite expired, was deleted, or the person accepted a different invitation.
## Reminder emails
The initial invite email is sent when the Invite is created. Reminder emails are sent automatically if a recipient has not responded.
Reminder emails stop when the recipient accepts, rejects, is cancelled, the Invite expires, or the Invite is deleted.
## Invite lifecycle
* **Accepted.** The recipient becomes a member and is managed in Members from then on. If that person had other pending invitations, those invitations are automatically cancelled.
* **Rejected.** The recipient does not join. No more reminder emails are sent. A rejected invitation cannot be accepted later, so a new Invite would need to be sent.
* **Expired.** All pending recipients are automatically cancelled. No more reminder emails are sent, and the Invite can no longer be used to join the Organization.
* **Deleted.** All pending recipients are cancelled, and the Invite links no longer work.
**Email re-authentication after Organization changes.**
If a person leaves or is removed from an Organization, they may be asked to re-authenticate their email address the next time they log in. After re-authenticating, they can continue using their account.
## How to create an Invite
Open **Manage**, then open **Invites**.
Click **Create invite**.
Enter the **Invite name**.
Set the **Invite expiration date**, or select **Does not expire**.
Select the relevant role level, then select the role to invite into.
Click **Save**.
## How to edit an Invite
Open **Manage**, then open **Invites**.
Select the role level, select the role, then select the Invite.
Open the **Details** tab and click **Edit**.
Edit the **Invite name** or **Invite expiration date**.
Click **Save**.
## How to add recipients to an Invite
Open **Manage**, open **Invites**, then select the Invite.
Open the **Recipients** tab.
Click **Add recipients**.
Enter the email addresses of the people you want to invite.
Confirm the selection.
Recipients are tracked individually inside the same Invite. Each recipient receives their own unique invite link.
## How to remove recipients from an Invite
Open **Manage**, open **Invites**, then select the Invite.
Open the **Recipients** tab.
Find the recipient you want to remove.
Click the delete icon beside their name.
Confirm the removal.
## How to review Invite status
Open **Manage**, open **Invites**, then select the Invite.
Open the **Recipients** tab.
Review the recipient list to see email addresses, current status, when each status changed, and action by where shown.
## How to resend an Invite
Open **Manage**, open **Invites**, then select the Invite.
Open the **Recipients** tab.
Find the recipient you want to resend the Invite to.
Select the option to resend the Invite and confirm if required.
## How to expire an Invite
Open **Manage**, open **Invites**, then select the Invite.
Open the **Details** tab and click **Edit**.
Click **Expire invite** and confirm if required.
Expiring an Invite cancels all pending recipients.
## How to delete an Invite
Open **Manage**, open **Invites**, then select the Invite.
Open the **Details** tab and click **Edit**.
Click **Delete invite** and confirm.
Deleting an Invite cancels all pending recipients.

Learn how Global, Property, and Project roles work together in ObservV, including external access and No Global Role users.
## Access levels
ObservV grants access at three levels:
* **Global roles** apply across the entire Organization.
* **Property roles** apply to one Property.
* **Project roles** apply to one Project.
Choose the narrowest level that gives the person the access they need.
## How roles work together
A person can receive access through a Global role, one or more Property roles, and one or more Project roles.
Removing someone from one role does not remove access they still receive through another role. Check all of their roles before concluding that their access has been removed.
## How access is assigned
For Global roles and Property roles, access is assigned by creating a role with the required permissions, then adding members to that role.
For Projects, access is assigned by selecting one of four fixed Project roles: Project Manager, Team Leader, Uploader, or Viewer.
## Branches and sponsorship
Some roles can sponsor lower roles. Sponsorship is what creates branches.
### Global role branches
Global roles follow this hierarchy:
Account Owner → Global Account Manager → Global Team Manager → Global Content Manager → Global Uploader → Global Viewer → No Global Role
Higher roles can manage lower roles, but only within their own branch and only when they have the required permissions.
No Global Role is used for Organization members who do not have Organization-wide permissions. They can still receive access through Property roles or Project roles.

### Property role branches
Property roles can use branches, but only in specific cases.
Within a Property, a Property Content Manager can sponsor Property Uploader and Property Viewer roles.
When a Property Content Manager sponsors a Property Uploader or Property Viewer role, the sponsored role becomes part of that Property Content Manager’s branch.
Property Content Manager roles are different. They can only be created and managed by Global Team Managers and above.
Property roles created by Global roles do not have a sponsoring role and do not become part of the Global role’s branch.
## Special access types
A person can only have one Global role per Organization. They can also hold Property roles across multiple Properties and Organizations.
* **No Global Role.** An Organization member with no Organization-wide permissions. They can still receive access through Property roles or Project roles.
* **External.** Someone outside your Organization who is given access to a Property or Project. Externals can hold Property roles, Project roles, or both. An External does not need to belong to any Organization.
## Quick reference: which role for which scope
Use the access level that matches where the person needs to work:
* Use a **Global role** when someone needs Organization-wide access.
* Use **No Global Role** when someone should belong to your Organization but should not have Organization-wide permissions.
* Use a **Property role** when someone needs access within a Property.
* Use a **Project role** when someone needs access within a Project.
For an Organization member who only needs access to one or more Properties, add them to **No Global Role**, then assign the relevant **Property role**.
For someone outside your Organization, assign access through a **Property role**, **Project role**, or both. They do not need to belong to an Organization first.
## Access without an Organization
A person does not need to belong to an Organization to be invited to a Project or Property.
* A person can be added to a Project even if they are not part of any Organization.
* A person can be added to a Property even if they are not part of any Organization.

Project roles control what members can do within a Project. Each member is assigned one of four fixed roles.
## Overview
Project roles are fixed and cannot be customized.
Each Project member is assigned one of four roles:
Project Manager, Team Leader, Uploader, or Viewer
Project roles apply only inside the Project.
Each Project role has its own permissions. For the full permission breakdown, see [Permissions matrix](/reference/permissions#project-roles).
## The four Project roles
| Project role | Description |
| ------------------- | ------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------ |
| **Project Manager** | Can add Project members and assign any Project role, including Project Manager and Team Leader. They can upload hotspot photos and attached photos and manage the Project's members. |
| **Team Leader** | Can add, edit, and remove Uploaders and Viewers. They can upload attached photos but cannot upload hotspot photos. |
| **Uploader** | Can upload attached photos, comment on photos, and view floors and other members' photos in the Project. |
| **Viewer** | Can comment on photos and view floors and other members' photos in the Project. They cannot upload photos. |
Anyone with access to a Project can see all members of that Project and all photos, hotspots, and floors that have been added to it.
## Access through Global and Property roles
A Project role is not the only way someone can access a Project.
A member whose Global or Property role includes **Manage projects** can manage every Project on the relevant Property without being added as a Project member. They can manage Project members and roles, upload Project photos, edit the Project name and expiry date, and add or remove Project hotspots.
Archiving or deleting a Project remains limited to Account Owners and Global Account Managers.

Customizable roles that apply to a single property. Use these for access tailored to one property's needs.
## Overview
Property roles define what a member can do within a single property.
Each Property role contains a set of permissions. Members added to that role can perform those actions within that property only.
Property roles are separate from Global roles. Use them when someone needs access to a specific property without broader organization-wide access.
## Role levels
Property roles follow this hierarchy:
Property Content Manager → Property Uploader → Property Viewer
This hierarchy controls who can manage whom within a property.

## Key rules
* Property roles apply to one property only.

* Property roles can be used to give property-specific access without giving broader organization-wide permissions.
* Property roles follow this hierarchy: Property Content Manager, Property Uploader, Property Viewer.
* A property can contain multiple independent Property role branches.
* Property Content Managers can sponsor Property Uploader and Property Viewer roles in their own branch.
* Property Uploaders cannot sponsor other Property roles.
* Property Content Manager roles can only be created and managed by Global Team Managers and above.
* Property roles created by Global roles do not have a sponsoring role and do not become part of the Global role’s branch.
* Being in the same branch does not grant permission by itself. The member must also have the required permissions.
## How to create a Property role
Open **Roles** within the property.
Click **Create**.
Review the sponsoring role permissions and click **Continue**.
Enter the **role name**, select the **role level**, and choose any optional permissions.
Click **Save**.
Sponsored roles must be created at a lower role level than the sponsoring role.
Only Global Team Managers and above can create Property content manager roles.
## How to edit a Property role
Open **Roles** within the property.
Select the role level and then the role.
Open the **Details** tab and click **Edit**.
Update **role name**, **role level**, or optional permissions.
Click **Save**.
## How to delete a Property role
Open **Roles** within the property.
Select the role level and then the role.
Open the **Details** tab and click **Edit**.
Click **Delete role** and confirm.
## How to add or remove members
**To add:** open Roles within the property, select the role level and the role, open the Members tab, click Add members, search and select, confirm.
**To remove:** open Roles within the property, select the role level and the role, open the Members tab, find the member, click the delete icon, confirm.
## How to review role details and sponsored roles
**Details:** open Roles, select the role level and the role, open the Details tab. From here you can review the role name, role level, sponsoring role, who created it, and assigned permissions.
**Sponsored roles:** from the same role, open the Sponsored roles tab to review the roles in that branch, the number of members in each, and which roles sit below the selected role.

# Billing and Data Services

Understand what a Data Services subscription adds, what your Organization can do without Data Services, and what happens if billing is interrupted.
## What Data Services adds
Data Services allows your Organization to:
* create and manage its own Properties;
* store and manage its own content in ObservV.
## Subscription and pricing

| Monthly subscription | \$49.95 per month |
| Included storage | 10 GB per month |
| Included bandwidth | 50 GB per month |
| Additional storage | \$0.50 per additional GB per month |
| Additional bandwidth | \$2.00 per additional GB per month |
All allowances and overage charges are calculated monthly.
**Storage** is based on how much photo data your Organization keeps in ObservV. **Bandwidth** is based on how much photo data is loaded when people view and use that content.
**First month for \$1.** Your first month costs \$1 and includes 10 GB storage and 50 GB bandwidth. After that, the subscription renews at \$49.95 per month unless cancelled.
**Pay as you go.** Additional charges apply only when your Organization exceeds its included storage or bandwidth.
**No seat fees or billing-based limits.** There are no seat fees or billing-based limits on the number of members, collaborators, Properties, Projects, or Tours.
**Collaborators are not charged separately.**
**You own your content.** The subscribing Organization owns the content uploaded to its account and is responsible for the associated storage and bandwidth usage.
## Without Data Services
Without Data Services, your Organization can still:
* manage Organization members and roles;
* have members contribute to Properties or Projects owned by another subscribed Organization when they have been given access.
Your Organization cannot create its own Properties or store its own content without Data Services.
## Who can manage billing

## If a payment fails
Data Services remains active for 72 hours after a payment fails.
* The Account Owner is notified immediately.
* Global Account Managers, Global Team Managers, and Global Content Managers are notified after 24 hours.
If payment is not resolved within 72 hours:
* Data Services is suspended.
* The Organization cannot access or create its own Properties or content.
* Member, role, and billing administration remain available.
* Existing data is retained for 14 days.
Restoring the subscription within those 14 days restores Data Services without data loss.
After the 14-day recovery period, the data is scheduled for **permanent deletion**. Once deleted, it cannot be recovered.
## If the subscription is cancelled
Cancellation suspends Data Services immediately. There is no 72-hour grace period.
Existing data is retained for 14 days.

Understand the main ObservV hierarchy, from organizations and properties to floors, hotspots, photos, and attached photos.
## Overview
ObservV organizes property content in a clear hierarchy. Understanding this structure makes the rest of the platform easier to understand.
The ObservV hierarchy is:
Organization → Property → Floor → Hotspot → Photo → Attached photo
## The content hierarchy
* **Organization.** The workspace that contains members, roles, and properties.
* **Property.** A digital representation of a real-world location. A Property contains the floors, hotspots, and photos for that location.
* **Floor.** A level, wing, section, or meaningful area within a property.
* **Hotspot.** A specific location on a floor where photos are stored.
* **Photo.** The visual record of a hotspot. ObservV recommends 360 photos for hotspot photos.
* **Attached photo.** An additional photo linked to a specific point on another photo.
A photo with attached photos becomes a Parent photo.
## How the hierarchy works
A property contains floors. Floors contain hotspots. Hotspots contain photos. Photos can have attached photos.
This means every photo is connected to a specific place in the property, and attached photos can add closer detail or extra context to a specific point on another photo.

A user can hold a combination of Global, Property, and Project roles at the same time.
ObservV also supports special access patterns, including Externals (with Property or Project access) and No Global Role users.

## What is ObservV?
ObservV is a reality-capture platform for documenting, organizing, and sharing photos of physical locations.
You upload photos, including 360° photos, into a structured digital representation of a property. ObservV then helps you organize those photos by floors and hotspots, add context with attached photos and Markers, and share selected content through Projects and Tours.

# Markers

Add interactive notes, links, and videos directly to photos. Markers can be Global, Property, or Single-use.
## Overview
A Marker adds extra context to a photo. Markers can display notes, links, videos, and other information directly on photos, making it easier to communicate and share information where it is needed.
Markers do not change the original photo.
## Why use Markers
Markers make it easier to add useful information directly to photos. They help you share context, direct users to other resources, and make important information easier to access without leaving the photo. They keep communication tied to the exact place it relates to.
## Marker scopes
* **Global markers.** Managed from the global marker library and reusable across properties.
* **Property markers.** Managed within a property marker library and available only in that property.
* **Single-use markers.** Created directly on a photo, used once only, and not stored in a marker library.
Property markers can include markers added from the Global marker library. When a marker comes from the Global marker library, its content can only be edited under **Manage** → **Global markers**.
## Marker types
* **Note.** Plain text annotation.
* **Link.** Hyperlink to an external resource.
* **Video.** Embedded video content.
## Visibility
Marker visibility controls who can access a marker. See [Visibility settings](/reference/visibility) for the full list of visibility settings used across Tours and Markers.
## Deactivation and pending deletion
Deleting a library marker is a delayed process. Once scheduled for deletion, the marker enters a pending state and may take up to 24 hours to be fully removed.
During this period, the marker is hidden from users without editing permissions but remains accessible to users with editing rights.
Markers that are deactivated or pending deletion are only visible to users with editing rights.
## How to create a Global marker
Open **Manage**, then open **Global markers**.
Click **Create**.
Select the type of marker: **Note**, **Link**, or **Video**.
Enter the required marker details.
Select the **Visibility**.
Click **Save**.
Account Owners and Global Account Managers automatically become Global marker managers. Only they can create Global markers, edit them, and add them to properties.
## How to create a Property marker
Open the property where you want to create the marker.
Open **Markers**.
Click **Create**.
Select the type of marker: **Note**, **Link**, or **Video**.
Enter the required marker details.
Select the **Visibility**.
Click **Save**.
## How to create a Single-use marker
Open the photo where you want to add the marker.
Open the marker option on the photo.
Click **Create**.
Select the type of marker: **Note**, **Link**, or **Video**.
Enter the required marker details.
Select the **Visibility**.
Click **Save**.
Single-use markers are not stored in the marker library.
## How to add a Global marker to a property
Open **Manage**.
Open **Global markers**.
Open the Global marker you want to add to a property.
Click **Add to property library**.
Select the property you want to add the marker to and confirm.
Adding a Global marker to a property does not create a new Global marker. It adds the existing Global marker to that property.
A Global marker added to a Property remains linked to the original Global marker. The marker content can only be edited under **Manage** → **Global markers**. When the marker is placed on a photo, its appearance can be edited on the photo.
## How to edit a marker
* **Global marker.** Open **Manage**, open **Global markers**, select the marker, update the fields, then click **Save**.
* **Property marker.** Open the property, open **Markers**, select the marker, update the fields, then click **Save**. If the marker came from the Global marker library, its content can only be edited under **Manage** → **Global markers**.
* **Single-use marker.** Open the photo, select the marker, update the fields, then click **Save**.
## How to promote a Property marker to a Global marker
Open the property containing the marker.
Open **Markers**.
Select the Property marker.
Open **More** and select the option to promote the marker to **Global**.
Confirm the action if required.
After promotion, the marker is available in the Global marker library.
## How to add a Global or Property marker to a photo
Open the property and open the photo where you want to add the marker.
Click **Edit**.
Open the **Markers** tab.
Click **Use marker from marker library**.
Search or filter the marker library, then select the Global or Property marker you want to use.
Click **Apply marker**.
Choose the marker display options as needed, then click **Apply**.
Place the marker on the photo where you want it to appear.
Click **Save**.
## How to activate or deactivate a Global marker
Open **Manage**, open **Global markers**, then select the marker.
Open **More** and select **Activate** or **Deactivate**.
Deactivated markers are only visible to users with editing permissions.
## How to delete a marker
* **Global marker.** Open **Manage**, open **Global markers**, select the marker, open **More**, select **Delete**, and confirm. Deletion is delayed by up to 24 hours.
* **Property marker.** Open the property, open **Markers**, select the marker, open **More**, select **Delete**, type the marker name, and confirm. Deletion is delayed by up to 24 hours.
* **Single-use marker.** Open the photo, select the marker, open **More**, select **Delete**, and confirm.

# Projects

Manage collaborative work within a defined area of a property, with members, roles, and expiry settings.
## Overview
A Project defines a focused area of work within a property. It uses selected hotspots and photos so members can collaborate, upload mobile phone photos, and attach them to 360 photos.
## Why use Projects
Projects help you manage work within a defined area of a property. They make it easier to control who is involved, keep collaboration focused, and give everyone involved visibility of the work they are participating in.
## Key concepts
* **Property-scoped.** A Project belongs to one property only.
* **Defined scope.** A Project includes selected hotspots and selected photos.
* **Collaborative.** Members work together within the Project area.
* **Role-based.** Project members are assigned one of four fixed Project roles.
* **Permission-based visibility.** Projects appear in My projects and All projects depending on whether you are a Project member and on your permissions.
* **Lifecycle.** Projects can have an expiry date, can be archived, and can be deleted.

## Project lists
* **My projects.** Projects you have been added to as a member.
* **All projects.** All Projects in your Organization that you can see because your role includes the Manage projects permission.
**Home and Projects.**
The Home icon shows recent activity in Projects you are a member of. If you are not a member of any Projects, Home will be blank, even if your role includes Manage projects and you can see Projects in All projects. To see Project activity in Home, you must be added to a Project as a member.
## Project roles
Project members are assigned one of four fixed roles:
Project Manager, Team Leader, Uploader, or Viewer
A member whose Global or Property role includes **Manage projects** can manage every Project on the relevant Property without being added as a Project member.
| Project role | Description |
| ------------------- | ------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------ |
| **Project Manager** | Can add Project members and assign any Project role, including Project Manager and Team Leader. They can upload hotspot photos and attached photos and manage the Project's members. |
| **Team Leader** | Can add, edit, and remove Uploaders and Viewers. They can upload attached photos but cannot upload hotspot photos. |
| **Uploader** | Can upload attached photos, comment on photos, and view floors and other members' photos in the Project. |
| **Viewer** | Can comment on photos and view floors and other members' photos in the Project. They cannot upload photos. |
Anyone with access to a Project can see all members of that Project and all photos, hotspots, and floors that have been added to it.
## What happens when a Project expires
When a Project expires, some users can still view it, but Project actions are paused until the expiry date is extended.
* **Project members in the Property’s organization** can still view the Project.
* **Users with the Manage projects permission** can view and re-open the Project by extending the expiry date.
* **Externals with Project access** lose access after expiry unless they have the Manage projects permission.
* While expired, no one can upload photos, comment, change members, change structure, or use SLAM.
## Create a Project: Details tab
Open the property where you want to create the Project.
Open **Projects** and click **Create**.
In the **Details** tab, enter the **Project name**, and a **Description** if needed.
Set the **Project expiration date**, or select **Does not expire**.
Click **Next**.
## Create a Project: Structure tab
Open the **Structure** tab.
Select the floor.
Select the hotspots you want to include in the Project.
For each included hotspot, select the photos you want to include.
Click **Next**.
## Create a Project: Members tab
Open the **Members** tab.
Click **Add members**, then search for and select the members.
Assign a **Project role** to each member.
Confirm the selection and finish creating the Project.
## How to edit a Project
Open **Projects**.
Select the Project you want to edit.
Click **Edit**.
Open the relevant tab and make your changes.
Click **Save**.
Details, Structure, and Members can all be updated after creation.
## How to add or remove members
**To add:** open **Projects**, select the Project, click **Edit**, open the **Members** tab, click **Add members**, then enter the first 3 letters of the name for existing members of your Organization, or the full email address for Externals and new users. Assign a Project role and confirm.
**To remove:** open **Projects**, select the Project, click **Edit**, open the **Members** tab, find the member, click the delete icon, and confirm.
## How to change a member's Project role
Open **Projects**.
Select the Project.
Click **Edit**.
Open the **Members** tab and find the member.
Select the new **Project role** and click **Save** if required.
## How to archive a Project
Open **Projects**.
Select the Project you want to archive.
Click **Edit**.
In the **Details** tab, click **Archive project** and confirm.
Archiving removes the Project from listings and makes it inaccessible to users.
The Project's photos and metadata are preserved.
You can still search for photos uploaded through that Project by using the Project name.
Only Account Owners and Global Account Managers can archive a Project. The **Manage projects** permission does not include archiving.
An archived Project cannot be unarchived. Permanent deletion is the only remaining action after a Project has been archived.
## How to delete a Project
Open **Projects**.
Select the Project you want to delete.
Click **Edit**.
In the **Details** tab, click **Delete project** and confirm.
Only Account Owners and Global Account Managers can permanently delete a Project. The **Manage projects** permission does not include deletion.
Permanently deleting a Project removes the Project and all its related information, including Project members and the ability to filter for photos by this Project. Photos uploaded through the Project are not deleted. They remain in the property. **This action cannot be undone.**

# Tours

Build view-only collections of selected photos from a single property and share them with a chosen audience.
## Overview
A Tour is a view-only collection of photos from a single property. Tours make it easier to organize, present, and share selected property content in a clear and controlled way.
## Why use Tours
Tours help you present property content in a more structured and interactive way. They make it easier to share selected photos with the right audience, whether you are presenting a property, documenting progress, or sharing visual information with clients, teams, or stakeholders. Tours give you control over how content is shared, who can view it, and who can manage it.
## Key concepts
* **Property-specific.** A Tour belongs to one property only and can only include photos from that property.
* **View-only.** Tours organize selected photos for viewing.
* **Selected content.** Tours are created by selecting hotspots first, then selecting which photos appear under each hotspot.
* **Visibility-controlled.** The visibility setting controls who can view the Tour. See [Visibility settings](/reference/visibility) for the full list.
* **Visibility is locked after creation.** Visibility cannot be changed after the Tour is created.
* **Managed access.** The Managed by setting controls who can manage the Tour.
## Create a Tour: Details tab
Open the property where you want to create the Tour.
Open **Tours** and click **Create**.
In the **Details** tab, enter the **Tour name**, and a **Description** if needed.
Choose whether to show the description when the Tour opens.
Select the **visibility** and the role(s) that will manage the Tour.
Set the **Tour expiration date**, or select **Does not expire**.
Select any available options.
Click **Next**.
Visibility cannot be changed after the Tour is created. Choose carefully.
When a Tour expires, links to it stop working. A member with the appropriate permission can extend the expiry date.
## Create a Tour: Structure tab
Open the **Structure** tab.
Select the hotspots you want to include in the Tour.
For each included hotspot, click **Add photos** and select the photos.
Click **Save**, and repeat for each hotspot.
Click **Next**.
The Structure tab shows how many hotspots and photos are included. You can remove hotspots from the Tour from the included list.
## Create a Tour: Opening view tab
Open the **Opening view** tab.
Click **Select** and choose the view the Tour will open on.
Confirm the selection and finish creating the Tour.
The opening view controls where the Tour begins for viewers.
## How to edit a Tour
Open **Tours** within the property.
Select the Tour you want to edit.
Click **Edit**.
Open the relevant tab and make your changes.
Click **Save**.
You can update Details, Structure, and Opening view after creation.
Visibility cannot be changed after the Tour is created.
You can also reset the Tour URL from the Details tab.
## How to delete a Tour
Open **Tours** within the property.
Select the Tour you want to delete.
Click **Edit**.
Click **Delete tour** and confirm.
Deleting a Tour removes the Tour, not the original photos in the property.

# Floors

Add, edit, reorder, and trash the floors that divide a property into levels, wings, or sections.
## Overview
A Floor divides a property into meaningful areas. A floor can represent a level, a wing, a section, or any other way you want to split a property. Hotspots are placed on floors.
## Floor file guidance
* **Accepted formats.** JPEG, PNG, GIF, or PDF.
* **Be clean and clear.** Floor plans should be accurate and ideally to scale, with only the information needed to help users understand the space.
* **Preserve aspect ratio when replacing.** Hotspot positions are stored as relative x-y coordinates. If you change the height-to-width ratio, hotspots will appear in the wrong location.
## How to add a floor
Open **Properties** and select the property.
Click **Edit**, then **Edit property and floors**.
Open the **Floors** tab.
Click **Create new floor**.
Enter the **Floor name** and upload the floor file.
Click **Save**.
## How to edit a floor
Open **Properties** and select the property.
Click **Edit**, then **Edit property and floors**.
Open the **Floors** tab and select the floor.
Edit the **Floor name**, or upload a new floor file.
Use **Download** or **Preview** if needed.
Click **Save**.
## How to reorder floors
Open **Properties** and select the property.
Click **Edit**, then **Edit property and floors**.
Open the **Floors** tab.
Drag and drop the floors into the order you want.
Click **Save**.
## How to trash a floor
Open **Properties** and select the property.
Click **Edit**, then **Edit property and floors**.
Open the **Floors** tab and select the floor.
Click **Trash floor** and confirm.
Trashing a floor also moves its hotspots and photos to Trash.

## Overview
Hotspots are placed on a floor plan to show where photos were captured. Each hotspot belongs to a floor and can contain one or more photos.
## How to add a hotspot
Open the property and select the floor where you want to add the hotspot.
Click **Edit**.
Activate hotspot mode.
Click the location on the floor plan where you want to add the hotspot.
Enter the **Hotspot name**.
Click **Save**.
## How to edit a hotspot
Open the property and select the floor containing the hotspot.
Click **Edit**.
Activate hotspot mode.
Select the hotspot you want to edit.
Edit the **Hotspot name**.
Click **Save**.
## How to move a hotspot
Open the property and select the floor containing the hotspot.
Click **Edit**.
Activate hotspot mode.
Drag the hotspot to its new position on the floor plan.
Click **Save**.
## How to trash a hotspot
Open the property and select the floor containing the hotspot.
Click **Edit**.
Activate hotspot mode.
Select the hotspot you want to trash.
Click the **trash** icon.
Confirm the action.
Trashing a hotspot also moves its photos to Trash.

# Photos

Upload, edit, move, trash, and organize photos stored in hotspots, including 360 photos, Parent photos, attached photos, and bucket photos.
## Overview
A photo is the visual record of a hotspot. ObservV recommends 360 photos for hotspot photos.
Photos are usually uploaded directly to the hotspot they belong to. If you do not know which hotspot a photo belongs to, you can move it to the bucket and organize it later.
A photo can also have attached photos, which are additional photos linked to a specific point on another photo. Once a photo has attached photos, it becomes a Parent photo.
## Key concepts
* **Hotspot photo.** The primary photo stored in a hotspot. 360 photos are recommended.
* **Attached photo.** An additional photo linked to a specific location on a Parent photo.
* **Parent photo.** Any photo that has at least one attached photo.
* **Snip.** A selected area of a photo saved as an attached photo.
* **Bucket photo.** A photo held in the bucket when you do not know which hotspot it belongs to yet.
* **Sensitive photo.** A photo marked as containing sensitive information. Some roles need explicit permission to view sensitive photos.
* **Opening view.** For 360 photos, the position viewers see when they first open the photo.
Use the bucket only when needed. It is best to upload photos directly to the correct hotspot whenever possible, so photos stay organized and easy to find.
## How to upload photos to a hotspot
Open the property, then open the floor containing the hotspot.
Select the hotspot.
Click **Upload**, then choose whether to take a photo or select one from your gallery.
For each photo, choose whether it contains sensitive data and add a comment if needed.
Click **Upload**.
## How to upload photos to a hotspot in hotspot mode
Open the property, then open the floor containing the hotspot.
Click **Edit**.
Activate hotspot mode.
Click the hotspot you want to upload photos to.
Select the option to upload photos, then choose whether to take a photo or select one from your gallery.
For each photo, choose whether it contains sensitive data and add a comment if needed.
Click **Upload**.
## How to set the opening view for a photo
Open the property and open the photo.
Click **Edit**.
Move the photo to the opening position you want, using the opening view controls if needed.
Click **Save**.
## How to move a photo to a different hotspot
Open the property and open the photo you want to move.
Click **Edit**.
Open the **Photo** tab.
Click **Move photo to different hotspot**.
Select the floor and hotspot you want to move the photo to.
Confirm the move.
## How to move a photo to the bucket
Open the property and open the photo you want to move.
Click **Edit**.
Open the **Photo** tab.
Click **Move photo to bucket**.
Confirm the move.
The bucket can be used as a temporary collection of photos when you do not know which hotspot they belong to yet. Do not overuse the bucket. It is best to upload photos directly to the correct hotspot whenever possible, so photos stay organized and easier to manage.
## How to move a bucket photo to a hotspot
Open the property and open the bucket.
Select the photo you want to move.
Click **Edit**.
Open the **Photo** tab.
Click **Move photo to different hotspot**.
Select the floor and hotspot where the photo belongs.
Confirm the move.
## How to trash a photo
Open the property and open the photo you want to trash.
Click **Edit**.
Open the **Photo** tab.
Click **Trash photo**.
Confirm the action.
## How to upload attached photos from the photo viewer
Open the property and open the photo you want to attach photos to.
Click **Upload**.
Click the location on the photo where you want to place the attached photos.
Select the option to upload photos, then choose whether to take a photo or select one from your gallery.
For each photo, choose whether it contains sensitive data and add a comment if needed.
Click **Upload**.
## How to upload attached photos from the Attached photos tab
Open the property and open the photo you want to attach photos to.
Click **Edit** and open the **Attached photos** tab.
Click **Upload from device** and select the file or files.
For each photo, choose whether it contains sensitive data and add a comment if needed.
Click **Upload**.
Once a photo has attached photos, it becomes a Parent photo. If you upload another attached photo, it goes to the same selected location until you change it.
## How to attach existing photos
Open the property and open the Parent photo.
Click **Edit** and open the **Attached photos** tab.
Click **Attach existing photos**.
Select the photo or photos you want to attach.
Click **Save**.
Only hotspot photos that are not already Parent photos or attached photos can be selected.
## How to manage attached photos
Open the property and open the Parent photo.
Click **Edit** and open the **Attached photos** tab.
Select the attached photo and edit details, move it, or remove it as needed.
Click **Save**.
## How to use Snip
Open the property and open the 360° photo or 2D photo you want to snip from.
Click **Snip**.
Draw a box around the area you want to capture.
The perimeter is red while the selected area cannot be saved and turns green when the selection is valid.
Use Snip when you want to comment on a specific area of a photo, especially when you are working remotely and cannot take a new photo on site.
The snipped area is saved automatically as an attached photo, but you may need to refresh to see it attached.
Snipping cannot be used on attached photos.
While Snip mode is active, rotation on 360 photos is paused.

# Properties

Create, edit, transfer, and trash properties in ObservV.
## Overview
A Property is a digital representation of a real-world location. It contains the floors, hotspots, and photos for that location.
## Key concepts
* **Top-level container.** Each floor, hotspot, and photo belongs to one property.
* **Data services required.** Your organization needs a Data services subscription to create a property. Data services covers the bandwidth and storage needed to upload and view photos.
* **Transferable.** A property can be transferred to another organization.
* **Property roles.** Access inside a property can be controlled by Property roles in addition to Global roles. See [Property roles](/access/property-roles).
## How to create a property
Open **Properties**.
Click **Create**.
Enter the **Property name**.
Enter the **Search address**, then select the address from the list.
Review the map pin position and drag it if needed.
Enter a **Description** if needed.
Click **Save**.
**Prerequisite:** your organization must have Data services enabled to create a property.
## How to edit a property
Open **Properties** and select the property.
Click **Edit**, then **Edit property and floors**.
Open the **Property** tab.
Edit the **Property name** or **Description** as needed.
To change the address, click **Edit address**, review the pin position, drag if needed, then click **Use this address**.
Click **Save**.
## How to transfer a Property to another Organization
Open the Property you want to transfer.
Click **Edit**.
Click **Edit property and floors**.
Open the **Property** tab.
Under **Property transfers**, click **Transfer property**.
Enter the Organization ID for the destination Organization.
Click **Create transfer request**.
The destination Organization must accept the transfer request.
Ask someone in the destination Organization to provide its Organization ID. It is available under **Manage** → **Organization profile**.
## How to trash a property
Open **Properties** and select the property.
Click **Edit**, then **Edit property and floors**.
Open the **Property** tab.
Click **Trash property** and confirm.
Trashing a Property also moves its floors, hotspots, and photos to Trash.
To review, restore, or permanently delete trashed Properties, open **Manage** → **Trashed properties**.

# QR codes & QR markers

A QR code opens a hotspot when scanned, while a QR marker shows where the QR code is located on a photo.
## Overview
ObservV uses QR codes to connect a physical location on site with the matching hotspot in the platform.
* **QR code.** A physical code placed on site and assigned to a hotspot. When someone scans it, ObservV opens the linked hotspot. Access still follows ObservV permissions.
* **QR marker.** A marker placed on a photo to show where the physical QR code is located on site.
QR code actions are managed from the hotspot. QR marker actions are managed from the photo using **Photo QR actions**.
QR markers help people find QR codes in the real environment and check that the physical code is still present, visible, and correctly positioned.
## How to add a QR code
Open the property and select the hotspot you want to assign the QR code to.
Click the QR code icon to open **Hotspot QR actions**.
Select the option to assign or scan a QR code.
Click **Start scanner**.
Point your camera at the physical QR code you want to assign to the hotspot.
Save the assignment if required.
## How to replace a QR code
Open the property and select the hotspot linked to the QR code.
Click the QR code icon to open **Hotspot QR actions**.
Click **Replace QR code**.
Click **Start scanner**.
Point your camera at the QR code that should replace the current one.
## How to remove a QR code
Open the property and select the hotspot linked to the QR code.
Click the QR code icon to open **Hotspot QR actions**.
Click **Remove QR code**.
Click **Delete** to confirm.
## How to view or print a QR code
Open the property and select the hotspot linked to the QR code.
Click the QR code icon to open **Hotspot QR actions**.
Click **More**.
Click **View QR code**.
Click **Download image** or **Print image**.
## How to filter photos with a QR marker
Open the property and select the hotspot linked to the QR code.
Click the QR code icon to open **Hotspot QR actions**.
Click **Filter photos with QR marker**.
Review the photos that already have a QR marker.
## How to add a QR marker to a photo
Open the photo where you want to show the QR code location.
Click the QR code icon to open **Photo QR actions**.
Click the position on the photo where the physical QR code is located.
Click **Save**.
## How to move a QR marker
Open the photo containing the QR marker.
Click the QR code icon to open **Photo QR actions**.
Click **Edit**.
Click **Move QR marker**.
Drag the QR marker using its move handle. The new position is saved automatically.
## How to remove a QR marker
Open the photo containing the QR marker.
Click the QR code icon to open **Photo QR actions**.
Click **Edit**.
Click **Remove QR marker**.
Confirm the removal.
## How to review the QR code audit log
Open the property and select the hotspot linked to the QR code.
Click the QR code icon to open **Hotspot QR actions**.
Click **More**.
Click **QR code audit log**.
Review who assigned, replaced, or removed this QR code.
From the audit log, you can review who the QR code was assigned to, when it was assigned, whether it is Active or Retired, and any linked project access where shown in the UI.

# Redactions

Hide sensitive information on a photo, manage existing redactions, and delete the unredacted original if required.
## Overview
Redactions cover parts of a photo so they cannot be seen by viewers. You can manage redactions over time and, if required, permanently delete the unredacted original.
## How to redact a photo
Open the property and the photo.
Click **Edit**, then select **Redact**.
Choose **Real view** or **Editing view**.
Select **Paint** or **Erase**, and adjust brush size and color.
Apply the redactions.
Use **Undo**, **Redo**, or **Clear** if needed.
Click **Save**.
**Real view** shows the photo as viewers will see it. **Editing view** helps you see the areas of the photo covered by your redactions.
## How to remove redactions
Open the property and the redacted photo.
Click **Edit** and open **Manage redactions**.
Click **Remove redactions**.
Review the side-by-side comparison and confirm.
## How to delete the original unredacted photo
**One-way action.**
Once the original unredacted photo is deleted, it cannot be recovered.
Open the property and the redacted photo.
Click **Edit** and open **Manage redactions**.
Click **Delete original**.

# Trash

Review, restore, and permanently delete floors, hotspots, and photos that have been moved to Trash.
## Overview
Trash is a property-level area where you can review content that has been moved to Trash.
You can restore content that is still needed or permanently delete content that is no longer required.
## Trash list and Trash mode
When you click **Trash**, you can choose:
* **Trash list** to review content that has been moved to Trash across the property, see its count and size, and restore or permanently delete it.
* **Activate trash mode** to view the selected floor with all hotspots, including hotspots that are in Trash and hotspots that contain trashed photos.
Trash mode helps you see where trashed content sits on the floor plan.
## How to read Trash mode
Hotspot colour shows whether the hotspot itself is in Trash. A number on the hotspot shows how many trashed photos it contains.
| Hotspot appearance | Meaning |
| ----------------------- | ---------------------------------------------------------------------------------- |
| **Blue with no number** | The hotspot is not in Trash and contains no trashed photos. |
| **Blue with a number** | The hotspot is not in Trash. The number shows how many trashed photos it contains. |
| **Grey with no number** | The hotspot is in Trash and contains no trashed photos. |
| **Grey with a number** | The hotspot is in Trash. The number shows how many trashed photos it contains. |
A **TRASHED** label on a photo means that the photo is in Trash.
The number on a hotspot is the number of trashed photos in that hotspot. It is not the total number of photos in the hotspot.
## Navigate in Trash mode
Use the floor and hotspot dropdowns in the breadcrumbs to find trashed content while Trash mode is active.
* In the **floor dropdown**, a red number shows how many hotspots are in Trash on that floor.
* A red **Trashed** label in the floor dropdown means that the floor itself is in Trash.
* In the **hotspot dropdown**, a red number shows how many photos are in Trash in that hotspot.
* A red **Trashed** label in the hotspot dropdown means that the hotspot itself is in Trash.
You can select floors and hotspots from these dropdowns to review their trashed content.
## Restore or delete from Trash mode
You can restore or permanently delete content directly from Trash mode.
* Open the item menu for a floor or hotspot to use the available **Restore**, **Delete**, and **Details** actions.
* Photos in Trash display a **TRASHED** label.
* Open a trashed photo to use its available Restore, Delete, and Details actions.
## Trash actions
The actions available depend on what is selected and where you are viewing it.
* **View** opens the selected item so you can review its trashed content.
* **Restore** restores the selected floor, hotspot, or photo.
* **Delete** permanently deletes the selected floor, hotspot, photo, or Bucket content.
* **Delete all** permanently deletes all content currently in Trash for the property.
* **Details** opens the details for the selected item.
Permanently deleted content cannot be restored.
## How to open the Trash list
Open the property.
Click **Trash**.
Click **Trash list**.
## How to activate Trash mode
Open the property.
Click **Trash**.
Click **Activate trash mode**.
Select the floor you want to review.
Use the hotspot colour and number to identify hotspots that are in Trash and hotspots that contain trashed photos.
## How to restore trashed content
Open the **Trash list** or activate **Trash mode**.
Find the floor, hotspot, or photo you want to restore.
Open the item menu, or open the photo if you are restoring a photo.
Click **Restore**.
Confirm the restore action if prompted.
## How to permanently delete trashed content
Open the **Trash list** or activate **Trash mode**.
Find the floor, hotspot, photo, or Bucket content you want to permanently delete.
Open the item menu, or open the photo if you are deleting a photo.
Click **Delete**. To permanently delete everything currently in Trash for the property, click **Delete all**.
Confirm the permanent deletion.

Definitions of key ObservV terms.
### Account Owner
The most senior Global role. The Account Owner role sits at the top of the Global role ladder, has no sponsoring role, and can manage everything across the organization. Members in the Account Owner role can also manage other members in the Account Owner role.
### Attached photo
A photo linked to a specific point on a Parent photo. Used to add detail or context to a 360 photo.
### Branch
A group of roles connected through sponsorship. Branches limit where role management can happen. A member cannot manage a role in another branch, even if that role is lower in the role ladder.
### Data services
The bandwidth and storage subscription needed to upload and view photos. Required to create a property.
### External
A person from outside the relevant Organization who is given access to a Property or Project. An External does not need to be a member of any Organization. Externals can hold Property roles, Project roles, or both.
### Floor
Divides a property into levels, wings, sections, or any meaningful area. Floor plan files can be JPEG, PNG, GIF, or PDF.
### Global marker
A marker stored in the Global marker library. Can be reused across properties.
### Global role
A customizable role that applies across the entire organization.
### Hotspot
A specific location on a floor where photos are stored.
### Invite
Used to add new people to your organization through a Global role. Once accepted, the person becomes a member and is managed in Members.
### Marker
An interactive element placed on a photo to add context, such as a note, link, or video. Markers can be Global, Property, or Single-use.
### Member
Someone who has accepted an invitation and joined an organization. Once a person is a member, they are managed in Members.
### No Global Role
A member with no organization-wide permissions. No Global Role can be used when someone needs Property roles without broader organization-wide access.
### Opening view
For 360 photos and Tours, the position viewers see when they first open the content.
### Parent photo
A photo that has at least one attached photo. A photo becomes a Parent photo as soon as the first photo is attached to it.
### Project
A scoped collaboration area inside a property, with its own members, roles, structure, and optional expiry date. A Project includes selected hotspots and selected photos.
### Project role
One of four fixed roles assigned to Project members: Project Manager, Team Leader, Uploader, or Viewer.
### Property
A digital representation of a real-world location. A Property contains the floors, hotspots, and photos for that location.
### Property marker
A marker that belongs to a single property. Property markers can also include markers added from the Global marker library.
### Property role
A customizable role that applies to a single property.
### QR code
A physical item placed in a room and assigned to a hotspot. When scanned, it opens that hotspot.
### QR marker
A marker placed on a photo to show the physical location of the QR code, for example in a door jamb.
### Recipient
An individual email address included in an Invite. Each recipient gets their own unique invite link and is tracked independently.
### Redaction
Visual covering applied to a photo to hide sensitive information. Redactions can be edited or removed. The original unredacted photo can also be permanently deleted.
### Sensitive photo
A photo marked as containing sensitive information. Some roles need explicit permission to view sensitive photos.
### Single-use marker
A marker created directly on a photo and used once only. Single-use markers are not stored in the marker library.
### Sponsoring role
A higher role that sponsors a lower role. When a role sponsors another role, the sponsored role becomes part of the sponsoring role's branch. Sponsored roles must be lower in the role ladder than the sponsoring role.
### Tour
A view-only collection of selected photos from a single property, shared with a chosen audience through the visibility setting.
### Visibility
A setting on Tours and Markers that controls who can access them: Subject to permissions, All Organization members, All ObservV users, or Public.

# Visibility settings

How visibility scopes work for Tours and Markers.
## Overview
Tours and Markers use the same four visibility levels.
## The four levels
* **Subject to permissions.** Anyone with property permissions can access this Tour or Marker.
* **All Organization members.** Everyone in the organization can access this Tour or Marker.
* **All ObservV users.** Anyone with an ObservV account can access this Tour or Marker.
* **Public.** Anyone can access this Tour or Marker. No account is required.
## Notes and limits
**Tours: visibility is locked after creation.**
You cannot change a Tour's visibility once it has been created. If you need a different audience, create a new Tour.
**Permission to set higher visibility.**
The ability to create Tours and Markers at higher visibility levels, including All Organization members, All ObservV users, and Public, is controlled by separate permissions on each role. See the [Permissions matrix](/reference/permissions).
