# Projects

> Manage collaborative work within a defined area of a property, with members, roles, and expiry settings.

## Overview

A Project defines a focused area of work within a property. It uses selected hotspots and photos so members can collaborate, upload mobile phone photos, and attach them to 360 photos.

## Why use Projects

Projects help you manage work within a defined area of a property. They make it easier to control who is involved, keep collaboration focused, and give everyone involved visibility of the work they are participating in.

## Key concepts

* **Property-scoped.** A Project belongs to one property only.
* **Defined scope.** A Project includes selected hotspots and selected photos.
* **Collaborative.** Members work together within the Project area.
* **Role-based.** Project members are assigned one of four fixed Project roles.
* **Permission-based visibility.** Projects appear in My projects and All projects depending on whether you are a Project member and on your permissions.
* **Lifecycle.** Projects can have an expiry date, can be archived, and can be deleted.

## Project lists

* **My projects.** Projects you have been added to as a member.
* **All projects.** All Projects in your Organization that you can see because your role includes the Manage projects permission.

  **Home and Projects.**
  The Home icon shows recent activity in Projects you are a member of. If you are not a member of any Projects, Home will be blank, even if your role includes Manage projects and you can see Projects in All projects. To see Project activity in Home, you must be added to a Project as a member.

## Project roles

Project members are assigned one of four fixed roles:

  Project Manager, Team Leader, Uploader, or Viewer

  A member whose Global or Property role includes **Manage projects** can manage every Project on the relevant Property without being added as a Project member.

| Project role        | Description                                                                                                                                                                          |
| ------------------- | ------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------ |
| **Project Manager** | Can add Project members and assign any Project role, including Project Manager and Team Leader. They can upload hotspot photos and attached photos and manage the Project's members. |
| **Team Leader**     | Can add, edit, and remove Uploaders and Viewers. They can upload attached photos but cannot upload hotspot photos.                                                                   |
| **Uploader**        | Can upload attached photos, comment on photos, and view floors and other members' photos in the Project.                                                                             |
| **Viewer**          | Can comment on photos and view floors and other members' photos in the Project. They cannot upload photos.                                                                           |

<Note>
  Anyone with access to a Project can see all members of that Project and all photos, hotspots, and floors that have been added to it.

## What happens when a Project expires

When a Project expires, some users can still view it, but Project actions are paused until the expiry date is extended.

* **Project members in the Property’s organization** can still view the Project.
* **Users with the Manage projects permission** can view and re-open the Project by extending the expiry date.
* **Externals with Project access** lose access after expiry unless they have the Manage projects permission.
* While expired, no one can upload photos, comment, change members, change structure, or use SLAM.

## Create a Project: Details tab

    Open the property where you want to create the Project.

    Open **Projects** and click **Create**.
  </Step>

  <Step title="Enter Project details">
    In the **Details** tab, enter the **Project name**, and a **Description** if needed.

  <Step title="Set expiration">
    Set the **Project expiration date**, or select **Does not expire**.
  </Step>

  <Step title="Next">
    Click **Next**.
  </Step>

## Create a Project: Structure tab

<Steps>
  <Step title="Open Structure">
    Open the **Structure** tab.
  </Step>

  <Step title="Select the floor">
    Select the floor.
  </Step>

  <Step title="Select hotspots">
    Select the hotspots you want to include in the Project.
  </Step>

  <Step title="Select photos">
    For each included hotspot, select the photos you want to include.
  </Step>

  <Step title="Next">
    Click **Next**.
  </Step>

## Create a Project: Members tab

<Steps>
  <Step title="Open Members">
    Open the **Members** tab.
  </Step>

  <Step title="Add members">
    Click **Add members**, then search for and select the members.
  </Step>

  <Step title="Assign Project roles">
    Assign a **Project role** to each member.
  </Step>

  <Step title="Confirm">
    Confirm the selection and finish creating the Project.
  </Step>

## How to edit a Project

<Steps>
  <Step title="Open Projects">
    Open **Projects**.
  </Step>

  <Step title="Select the Project">
    Select the Project you want to edit.
  </Step>

  <Step title="Click Edit">
    Click **Edit**.
  </Step>

  <Step title="Make changes">
    Open the relevant tab and make your changes.
  </Step>

  <Step title="Save">
    Click **Save**.
  </Step>

<Note>
  Details, Structure, and Members can all be updated after creation.
</Note>

## How to add or remove members

**To add:** open **Projects**, select the Project, click **Edit**, open the **Members** tab, click **Add members**, then enter the first 3 letters of the name for existing members of your Organization, or the full email address for Externals and new users. Assign a Project role and confirm.

**To remove:** open **Projects**, select the Project, click **Edit**, open the **Members** tab, find the member, click the delete icon, and confirm.

## How to change a member's Project role

    Select the Project.

    Click **Edit**.
  </Step>

  <Step title="Find the member">
    Open the **Members** tab and find the member.
  </Step>

  <Step title="Update the role">
    Select the new **Project role** and click **Save** if required.
  </Step>

## How to archive a Project

<Steps>
  <Step title="Open Projects">
    Open **Projects**.
  </Step>

  <Step title="Select the Project">
    Select the Project you want to archive.
  </Step>

  <Step title="Click Edit">
    Click **Edit**.
  </Step>

  <Step title="Archive and confirm">
    In the **Details** tab, click **Archive project** and confirm.
  </Step>

<Info>
  Archiving removes the Project from listings and makes it inaccessible to users.
  The Project's photos and metadata are preserved.
  You can still search for photos uploaded through that Project by using the Project name.

## How to delete a Project

    Open **Projects**.

    Select the Project you want to delete.
  </Step>

  <Step title="Click Edit">
    Click **Edit**.
  </Step>

  <Step title="Delete and confirm">
    In the **Details** tab, click **Delete project** and confirm.
  </Step>

<Warning>
  Permanently deleting a Project removes the Project and all its related information, including Project members and the ability to filter for photos by this Project. Photos uploaded through the Project are not deleted. They remain in the property. **This action cannot be undone.**
