The three role types

  • Global roles. Customizable roles that apply across the organization.
  • Property roles. Customizable roles that apply to a single property.
  • Project roles. Fixed roles that apply to a single project.

How access is assigned

For Global roles and Property roles, access is assigned by creating a role with the required permissions, then adding members to that role. For Projects, access is assigned by selecting one of four fixed Project roles: Project Manager, Team Leader, Uploader, or Viewer.

Branches and sponsorship

Some roles can sponsor lower roles. Sponsorship is what creates branches.

Global role branches

Global roles follow this hierarchy: Account Owner → Account Manager → Team Manager → Content Manager → Uploader → Viewer Higher roles can manage lower roles, but only within their own branch. A branch is created when one role sponsors another role. For example, if an Account Manager sponsors a Content Manager, Uploader, or Viewer, those members sit inside that Account Manager’s branch. Branches prevent members from managing roles outside their area of responsibility. Even if a role is lower in the hierarchy, it cannot be managed by someone from another branch. The Account Owner sits above all branches. Account Owners can manage the whole organization, including other members in the Account Owner role.
Why branches matter. A branch limits where role management can happen. Being in the same branch does not automatically give a member permission to manage a role. The member must also have the required permissions.
Inviting people requires the Invite members permission. Sponsoring or managing a role does not always mean you can invite people into it.

Property role branches

Property roles can use branches, but only in specific cases. Within a property, a Property Content Manager can sponsor Property Uploader and Property Viewer roles. When a Property Content Manager sponsors a Property Uploader or Property Viewer role, the sponsored role becomes part of that Property Content Manager’s branch. Property Content Manager roles are different. They can only be created and managed by Global Team Managers and above. Property roles created by Global roles do not have a sponsoring role and do not become part of the Global role’s branch.

Special access types

A person can only have one Global role per organization. They can also hold Property roles across multiple properties and organizations.
  • No Global Role. A member with no organization-wide permissions, but who can hold Property roles.
  • Guest. Someone with a Global role in another organization, given a Property role in your organization.
  • External. Someone added to a Project from another organization. Externals can be added to Projects even if they are not part of any organization.

Quick reference: which role for which scope

  • Organization-wide access: Global role.
  • Access within a property: Property role.
  • Access within a project: Project role.
  • Quick onboarding without organization-wide access: No Global Role.
  • Property access for someone from another organization: Guest with a Property role.
  • Project access for someone from another organization: External with a Project role.

External access rules

  • A person cannot be added to a Property unless they already have a Global role in an organization.
  • A person can be added to a Project even if they are not part of any organization.
